Employee Regulations

Stafforex – stafforex.eu

1. General provisions

This Employee Handbook forms an integral part of the STAFFOREX General Terms and Conditions of Employment (AGTC) and contains detailed rules regarding employee profiles, rights and obligations.

The STAFFOREX platform is free to use for employees – from registration to applying for jobs.

2. Registration and creating a profile

During registration, the employee must provide real, accurate, and up-to-date information, and may only use their own email address.

The employee is entitled to create a professional profile that may include, in particular, a name, a profile picture, language skills, professional experience, qualifications, a resume, certificates, letters of recommendation, and an introductory text.

The employee may upload only data, documents or images for which they are entitled to publish, and they assume full responsibility for the authenticity and legality of the content they upload.

Stafforex is entitled to verify and approve profiles; it is not obliged to approve every submitted profile.

When approving a profile, STAFFOREX takes into account, in particular, the specified language proficiency and professional experience. The platform aims to publish only applications with a seriously considered, genuine interest in the position. To this end, a minimum German or English language level of A1 is required; in the absence thereof, relevant professional experience in the position applied for is required. STAFFOREX considers these aspects individually, on a human basis, and reserves the right to reject approval.

The prerequisite for approving the profile is uploading the profile picture.

2/A. Application in pairs or groups

The employee can indicate that they wish to take on work together with their spouse, family member, or friend (in pairs or groups, a maximum of 4 people). The pairing feature works by having both individuals create a separate employee profile on the platform, and each of them enters and manages their own data exclusively.

In this case, the employee does not provide any personal information about any other person. The pairing occurs when the employee sends a connection request based on the email address of their partner (who is already a registered user), which the other party accepts on their own dashboard (mutual consent). Multiple partners can be paired, up to a maximum of four in total; these rules apply equally to all participants, and any participant can opt out at any time.

The partner's e-mail address is solely used to identify the already registered user and to deliver the request for connection. After the connection, employers will see that the employee is logged in as a couple and can view the partner's individual profile.

Both parties share only their own, voluntarily provided data, according to the visibility rules they set themselves. The pairing can be terminated by either party at any time on the control panel; neither party’s profile or data is deleted in the process of separation.

3. Visibility of the profile

The employee can regulate the active or suspended status of their profile at any time in the profile settings. Voluntary consent separate from this applies to making the entire profile accessible to employers.

Basic profile data

During registration, the employee agrees that their basic profile information will be displayed to registered employers. The consent to make this information visible is a prerequisite for the profile to be published.

The basic profile data include, in particular, the employee’s name, profile picture, the position they are seeking, their language skills, professional experience, their contact status, the expected date of their employment start, and a brief introduction.

As long as the employee profile is active, these basic profile data can be displayed to registered employers regardless of their subscription package.

Full profile

The employee may, independently of the visibility of the basic profile data, voluntarily and explicitly consent to the fact that their complete profile is made available to employers with PROFI or PRÉMIUM subscriptions.

The full profile may include, in particular, the curriculum vitae, certificates, letters of recommendation, documents, phone number, email address and other contact details.

The consent given to gain full profile visibility is not a prerequisite for the employee profile to be published. If the employee does not contribute to this, or withdraws their consent later, their basic profile data – as long as their profile is otherwise active – will still be visible to registered employers, however the full profile content will not be made available to employers with PROFI and PRÉMIUM subscriptions.

Modifying the visibility of the full profile and withdrawing consent

The employee can change or withdraw their consent to full profile visibility at any time in the profile settings.

The withdrawal of consent will only eliminate future access to the entire profile, and does not result in the automatic hiding of basic profile data, provided that the employee profile is otherwise active.

The withdrawal of consent does not affect the legality of the data processing that took place before the withdrawal, and it does not affect the data that employers lawfully knew before the withdrawal.

Suspension of the profile

The employee can pause their entire profile at any time in the profile settings (for example, if they no longer seek employment). As a result of the pause, the profile – including the basic profile data – is removed from employer searches and public listings, and cannot be viewed directly via a direct link. The pause is not an erasure: the employee can reactivate their profile at any time and their data remains intact.

4. Use of data by employers

Employers may use employee data solely for the purpose of recruiting, hiring, and selecting employees.

It is prohibited to sell employee data, to transfer it to third parties, to collect it in bulk, and to build your own database from the data outside the STAFFOREX system.

5. Obligations of the employee

The employee is obliged to:

  • provide real and up-to-date data;
  • upload documents that exclusively belong to you or that you are entitled to publish;
  • communicate respectfully with employers through the chat function;
  • refrain from disclosing false or misleading information;
  • at the same time, maintain only one active employee profile.

The evaluations provided by the employee must be based on real experience, be factual and cultured; publishing false, offensive or malicious evaluations is prohibited.

5/A. Video interview

The employer can recommend a video interview appointment through the platform. Participation is voluntary: the employee can accept the appointment, suggest a new date, or reject it.

Stafforex does not record or store the content of the call. The employer may not record the call without the employee’s prior consent.

5/B. AI services

Stafforex can automatically translate the introductory text into another language using artificial intelligence so that German-speaking employers can also understand it. This service is free of charge and the original text remains intact.

The platform also offers a separate, fee-based self-presentation and motivation letter generator that can be used voluntarily. Using this feature is not a prerequisite for registration, creating a profile, job search, or applying — these functions of the platform remain free of charge in all cases.

6. Managing inactive profiles

The goal of STAFFOREX is to provide employers with an up-to-date and active employee database. Activities that qualify as activity include logging in, changing profile, submitting a job application, sending or receiving messages, and uploading documents are particularly important.

If the employee profile does not show activity for 30 consecutive days, STAFFOREX sends a warning email notification.

Following the notification, the employee is given a 14-day grace period during which any activity interrupts the deactivation process.

If no activity occurs during the waiting period, the profile is placed in an inactive status: it is not displayed in employer searches and is not included in public results.

After 30 days have passed since the inactivation, if no activity occurs, STAFFOREX is entitled to permanently delete the profile and the related data, with the exception of data that must be retained by law.

The employee can reactivate their profile at any time with a login or other activity – even after the inactivity period has ended, until the final deletion.

7. Consequences of violations of the law

In the event of a violation of these Rules – particularly the provision of false information, the creation of a misleading profile, or a violation of the communication rules – STAFFOREX is entitled to restrict, suspend, or permanently delete the profile.

8. Related documents

This Employee Handbook forms part of the STAFFOREX General Terms and Conditions (AGTC), the Data Processing Notice, and – in the case of the use of fee-based additional services – the Subscription and Payment Terms, and is valid and to be interpreted in conjunction with them.

This Policy is effective as of the date below and will remain in effect until revoked or modified.
